Position Summary

The Wholesale Automotive Title Clerk is responsible for processing and maintaining vehicle titles and ownership documents for wholesale and auction vehicle transactions. This position ensures titles are accurate, properly assigned, processed in a timely manner, and compliant with applicable Michigan requirements and dealership procedures.

The ideal candidate is highly organized, detail-oriented, comfortable working with large volumes of paperwork, and knowledgeable about automotive titles, auctions, lien releases, reassignment documents, and wholesale transactions.

Essential Responsibilities

  • Process vehicle titles for wholesale, auction, dealer-to-dealer, and other business-to-business transactions.
  • Review titles and supporting documents for accuracy, completeness, signatures, dates, VINs, mileage, assignments, and lien information.
  • Process title assignments, reassignment forms, dealer reassignment documents, powers of attorney, bills of sale, and related paperwork.
  • Obtain and process lien releases when required.
  • Identify title problems, discrepancies, missing documentation, or improperly completed paperwork and work to resolve them promptly.
  • Maintain accurate records of titles received, titles pending, titles sent out, and titles requiring correction.
  • Track titles from purchase through sale and final delivery to the purchasing dealer or auction.
  • Work with wholesale buyers, auctions, banks, lienholders, dealerships, and internal departments to resolve title issues.
  • Prepare title documents and paperwork for vehicles being sold through wholesale channels.
  • Verify that vehicle information on title paperwork matches dealership records and vehicle documentation.
  • Process title corrections and follow up on rejected or incomplete title transactions.
  • Maintain organized title files and documentation for audit and recordkeeping purposes.
  • Monitor outstanding titles and follow up on missing titles, assignments, lien releases, and other required documents.
  • Communicate with auction representatives and purchasing dealers regarding title status and documentation.
  • Assist with out-of-state title requirements when applicable.
  • Maintain confidentiality of dealership and customer information.
  • Follow all dealership policies and applicable state and federal requirements.
  • Perform other administrative duties related to wholesale vehicle transactions as assigned.

Qualifications

  • Previous automotive title experience strongly preferred.
  • Experience working with wholesale vehicles, automotive auctions, or dealer-to-dealer transactions preferred.
  • Knowledge of Michigan vehicle title and registration procedures preferred.
  • Strong understanding of vehicle titles, liens, reassignment paperwork, powers of attorney, and dealer documentation.
  • Excellent attention to detail and accuracy.
  • Strong organizational and time-management skills.
  • Ability to manage multiple titles and transactions simultaneously.
  • Ability to identify paperwork errors before they create delays or financial issues.
  • Strong communication and follow-up skills.
  • Comfortable working with computers, spreadsheets, dealership management systems, email, and online auction/title systems.
  • Ability to work independently and take ownership of assigned work.
  • Professional and dependable with a strong sense of urgency.
